VTMHA Board members: In addition to the listed duties,
all Board Members, elected and appointed, attend a monthly Board
mtg. and give a report.
ELECTED
1. President: -
handles all disciplinary issues, sits on boards of Presidents
League, PCAHA and other organizations that impact VTMHA.
2. VP Rep: -
Interviews & selects rep coaches. Oversees them throughout the
year. Advises coaches during Rep selection. Handles all activities
related to
Rep level hockey.
3. VP House: -
Assists Division Mgrs. in setting up the teams and balancing them
to meet Presidents League standards. Make up the game schedule
for
balancing games. Will
be the liaison between teams and the league in regard to
disciplinary issues.
4. VP Admin: -
oversees all financial aspects of the assoc. This includes revenue
generation, cost control and co-supervision of Mgr. Operations
etc.
5. VP
Initiation: - Assists Divisional Managers in setting up Hockey
1, 2, 3, and 4 teams. Assists divisional managers in selecting on
ice instructors (coaches) for all teams. Works directly with all
instructors/coaches ensuring that the CHA "Initiation
Program" Skills Development Curriculum is utilized at
Hockey 1 and 2. Ensures Novice Nike Skills is utilized at Hockey 3
and 4.
6. Coaching
Coordinator - recruits coaches; runs assessments for house and
rep. Provides training opportunities and ongoing support to
coaches.
Insures coaches are knowledgeable about VTMHA and other
governing body’s policies and abide by them. The coaching
coordinator also sits
on the rep coach selection committee and acts as advocate for
the coaches, conducts coaching meetings, directs the skills
development coordinator, provides assistance for struggling coaches
etc

Sec/Treasurer: - Oversees all the accounting for VTMHA and
prepares the budget for approval by the board.
APPOINTED: Due to the large time
commitment involved in these positions, a $400/YR. honorarium is
paid to the incumbents.
8. Equipment
Mgr.- Responsible for the purchase, distribution, storage and
maintenance off all VTMHA equipment including:• pucks, cones, first
aid kits,
• Game, conflict and
evaluation jerseys;•goalie sticks and goalie equipment; •
miscellaneous tournament supplies and other VTMHA equipment.
• Responsible for
tracking and collecting outstanding equipment at the end of the
year.Responsible for annual budget of between $20,000
and
$30,000.Heavy time
commitments in August, September, March and April, on call at all
other times.Person must be well organized and reliable as
most requests
for equipment are "last minute"

Fundraising - organizes and implements one or two
large all-inclusive fundraisers per year. Players should not be
selling door-to-door. (40 hrs)
10. Ice Scheduler- Calculates the
number of ice slots needed to accommodate all our teams practice
& game times and negotiates with Parks and UBC for the best ice
times possible. Signs the ice rental contracts. Books all the
preseason ice sessions for rep tryouts, house assessments,
officials clinics, etc. Ultimately responsible for rescheduling all
game conflicts or loss of ice. Trains and coordinates divisional
ice schedulers to handle the rescheduling of conflict games.
11. Referee in Chief- Referee in
Chief-Oversees all assignment of house and rep games in divisions
Hockey III through to Peewee (Bantams until Christmas) Orchestrates
development of officials through game experience, seminars and
on-ice sessions. Recognizes leadership qualities in officials
to assist in the development program. Continually looking to
improve efficiency within the policies and procedures to increase
efficient communication and productivity. Liaise with board
members to ensure issues are resolved with satisfactory
solutions.
12. Registrar - Manages the
player & team officials data base. Ensures that the governing
bodies (PCAHA, BCAHA, CHA)have all the documentation needed to
insure our players and team officials and to meet their criteria
for VTMHA as a Minor Hockey Assoc.
13. Risk & Harassment Officer
-handles matters & answers questions related to the issues of
the participation risks to and potential liabilities of VTMHA,
its players & officials; deals with the concerns &
complaints surrounding & arising from matters of harassment by
& of VTMHA players & officials; handles disciplinary
investigations or hearings when matters are referred by the Board,
especially related to risk & harassment

Sponsorship
- (under revision) canvass businesses to financially sponsor VTMHA
teams.
15. Tournament Director - 60 hrs
per tournament x 7 tournaments. Oversees the organization of all
the VTMHA tournaments throughout the season. Solicits teams to fill
tournament, makes all arrangements for out of town teams, books
ice, and handles all money. Finds & coordinates volunteers to
do the individual tasks that make a successful tournament –
schedule games, gather ads, program layout & printing, medals,
give aways, concession, raffle.
16. Division Mgrs.- 1 per
division = 6 volunteers; Organize the assessments for house teams,
assists coaches with setting up the teams, keep parents informed on
process, maintains statistics for division teams to implement
balancing, be a sounding board for coaches, managers and parents.
Handle conflict jerseys.
COACH OR ASSISTANT COACH:The PCAHA makes no
distinction between coaches and assistant coaches. All are required
to undergo a Criminal Record Check and to take the appropriate
coach certification course (2 days) & a Speak Out course (3.5
hours). (all requirements are paid for by the Assoc.) *at
this point, the Speak Out course only has to be taken once; the
certification is good for ensuing years Coaches generally spend 10
hours per
week involved in planning practices, organizing bench, dressing
room before practices and games and implementing games
TEAM MANAGER: Assist the coach by organizing
timekeepers, scorekeepers and fundraising (50/50 and others);
rescheduling conflict games and dealing with any other changes as
required; preparing team phone lists and schedules; communicating
with parents; keeps team bank account and is accountable to the
parents for all funds raised and spent. Tracks referee money
provided by VTMHA & submits an interim report in Dec. & a
finalized accounting in March.
PCAHA requires managers to take the Speak Out course (3.5
hours). *at this point, ‘Speak Out’ only has to be taken
once; cert. lasts for ensuing years
Managers must have a Criminal Record Check done. (All
requirements are paid for by the Assoc.)
TEAM TRAINER: (CHSP): should attend all
games and is expected to know enough about injuries to evaluate the
need to call for professional assistance, know where the first aid
equipment is in the arenas and how to best get ambulance access to
the rink. Trainers are required to take Canadian Hockey
Safety Program course (8 hours) and Speak Out course (3.5 hours)
*at this point, the Speak Out course only has to be taken
once; the certification is good for ensuing years. Trainers must
have a Criminal Record Check done. (all requirements are paid for
by the Assoc.)
DIVISION REFEREE ASSIGNOR: work with
Referee-in-Chief toschedule referees and linesmen for Thunderbirds
home games in a division.
DIVISION ICE SCHEDULER: work with ice scheduler
& team mgrs. to reschedule practices & games lost to
conflicts, ice problems, and other cancellations
DIVISION REGISTRAR: Assists with mail out of
registration pkgs. Receives all registrations for that div.
until May 1st, records all information on a master list,
and prepares cheques for deposit.
DIVISION TOURNAMENT DIRECTOR: Liaises with
tournament director and team tournament volunteers to organize
tournament for that division.
ASSESSMENT JERSEY HANDLER – 1 per div =
6:Initially pickup jerseys from equipment mgr., assigns
them to players at the first assessment. Collects them after
assessments are completed and returns them, CLEAN, to Tom
MANAGER OF THE MANAGERS:Ensures every team has a
manager, holds an initial meeting in Sept. (more if required) to go
over the manager’s responsibilities. Fields questions from team
managers throughout the year. Acts as liaison for all other
positions to disseminate information to the teams. Arranges for the
manager’s handbook gets posted on the web-site and ensures that it
is kept up to date.
WEB MASTER: Responsible for updating the
web-site with information approved by the Board. Offers guidance on
how best to incorporate ideas and achieve a functional
web-site.
DATA ENTRY:Enter information into a computer to
build our Association’s database
AT-LARGE VOLUNTEER: assist at assessments,
registration, rep try-outs, tournaments and fund-raising events as
required.
Please note that participation in
team-sponsored events such as 50-50, team fund-raising and team
activities is expected from all parents, whether or not they also
volunteer for the above positions.
